Job description
The Warden's Lodgings and College Catering
The Warden is the College's Chairman of Governors. Whenever the Warden and other members of the Governing Body (the Fellows) meet or have occasion to stay in Winchester they use the residence known as the Warden's Lodgings. The building is within the school's main Campus.
College Catering provides catering, waiting
and housekeeping staff not only for the Scholars (who live in the original medieval accommodation provided by William of Wykeham) but also for all formal school entertaining.
The Assistant Housekeeper will primarily work in the Warden's Lodgings but will be a member of the College Catering team and so may also be asked to work in other locations around the school.
Responsibilities
The person appointed will report to the Warden's Housekeeper in the first instance, and then through the Functions Manager to the school's Head of College Catering & Hospitality; he/she will help provide an efficient, professional and discreet service, responding to the needs of the Warden and Fellows and senior staff. There is also a part-time Assistant Housekeeper.
The main duties of the Assistant Housekeeper are to assist the Housekeeper in:
* providing waiting and housekeeping services, primarily for the Warden and other members of the Governing Body, whether for meetings, overnight accommodation, formal dinners or other meals, and also for other school entertaining;
* providing waiting and housekeeping services for other school departments that may from time to time have consent to use the Lodgings; this will include events held out of term-time;
* ensuring the set up and service of all events in Wardens Lodgings;
* assisting the Catering department in other locations when required, whether for school events or for those booked through Winchester College Enterprises for external customers including summer lets. These duties may include the setting up of equipment for catered functions, serving and clearing away;
* supporting the Housekeeper in devising a programme of daily, monthly and annual cleaning tasks (some tasks will require the use of machinery) to ensure the interior of the Lodgings is maintained to a high standard;
* ensuring all linens are cleaned and stored to a high standard, liaising with both the school's internal Laundry and external laundry providers to ensure that agreed service levels are met and invoicing is recorded correctly;
* where possible carrying out any in-house laundry requests from the Warden;
* maintaining suitable stock levels of, and keeping account of, household cleaning supplies;
* carrying out regular checks on all equipment, fire and emergency lighting systems, maintaining records for inspection purposes, reporting issues and following up incomplete remedial works;
* sharing responsibility for day-to-day statutory Health & Safety checks in the Warden's Lodgings and reporting any inadequacies to the Head of Catering & Hospitality and the Health & Safety Officer;
* assisting the Warden and Fellows and other guests in an emergency, acting as Fire Marshall when necessary;
* being available for occasional 'sleepover' duties, in order to provide an emergency point of call to the Warden and Fellows/guests staying overnight in the Warden's Lodgings, whilst also ensuring security of the building;
* Completing HACCP, COSHH and Risk Assessment documentation for the catering and housekeeping services within Warden's Lodgings, maintaining proper records both for in-house compliance and inspection purposes;
* carrying out an annual inventory of catering equipment and furnishings;
* cleaning of silver and other special items, assisting with maintaining the accuracy of the school's records of these collections, and any movements of them through the school;
* liaison with floristry suppliers to ensure high quality provision of flower displays for events;
* carrying out such other duties as may from time to time reasonably be required by the Head of Catering & Hospitality, Functions Manager or Warden;
In addition the post-holder shall:
* keep up to date with and implement good catering practices, maintaining a current Food Hygiene Certificate;
* attend any relevant training the school may identify as necessary, including but not limited to: Health & Safety, Manual Handling, Fire Safety, First Aid, Child Protection & Safeguarding , Food Allergies, record keeping and equipment maintenance.
Person Specification
The successful applicant will have previous housekeeping experience, whether that has been gained in a large private house, school or prestige hotel. The Warden's Lodgings is maintained to a very high standard; applicants should have an equally high standard of personal presentation. Friendliness, but with a polite, professional, respectful manner, combined with the ability to make the Lodgings a home for the Warden and his family when they are in Winchester, are all important. Absolute discretion will always be required. A working familiarity with Word, Excel and Outlook systems is required.
The confidential handling of information originating from staff and pupils at Winchester College is paramount. This role carries certain responsibilities; the post-holder should not, therefore, share information with anyone (within the school or beyond) that would breach confidentiality. Professional boundaries should be respected; entering into personal conversations with school staff, the Warden or Fellows should be avoided. In particular, e-mail, text messages and social media channels must not be used to pass on private information. The post-holder should not participate in negative conversation, comment about another person's work, behaviour, attitude or personal life when that person is not present, unless to compliment or reference work matters or to report a safeguarding matter.
Please Note: The role will involve the use of bulky cleaning equipment, as well as lifting and moving catering and supplies around the campus. The post-holder will be expected to meet these reasonable physical requirements of the post.
Terms of Employment
Start date
The successful candidate will take up his/her duties as soon as possible.
Salary
The salary will be circa GBP 19,500 per annum which will be paid in 12 equal instalments monthly in arrears to a nominated bank account. Salary levels are reviewed on 1st September annually. The next salary review for this post will be September 2020.
Hours of Work
This is a full-time, year-round role.
Throughout the year normal working hours are 40 per week, but the incumbent will be expected to vary these, working longer hours in busy periods depending on the number of events and the consequent cleaning requirements. Time off in lieu will be granted in preference, with prior agreement of the Head of Catering & Hospitality. The actual hours worked will be recorded each week and extra pay will be given in September for additional hours worked above an average of 40 a week throughout the academic year.
Hours will be variable, a standard shift will be for 8 hours. Start times will vary from 7am onwards, and finish times will vary between 3pm until 10pm depending on the programme of events.
A weekly rota will be devised by the Catering management team and communicated in good time.
A 20-minute break should be taken at a convenient time at the discretion of the post-holder. This time is paid. Breaks should be avoided during the first and last hours of any shift.
Sleepovers are required to be undertaken in addition to normal working hours. The post holder will receive a flat rate payment for a sleepover. Where possible a separate room in either an office/sleep in room with a fold out bed will be provided. A shower-room and WC is located nearby.
The post-holder will be expected to support school events, including but not limited to: an annual Saturday open-day each June (attendance required 8am until 6pm). Before and during these occasions it is likely that additional hours will be required: these must be authorised in advance by the Head of Catering& Hospitality.
Uniform & Food
Certain items of uniform and protective clothing will be provided, including polo shirts, sweatshirts and safety footwear. The post-holder should provide his/her own plain black trousers or skirt, and plain white business shirt for formal occasions. A dress waistcoat and bow tie will be provided when required.
Laundering of uniform items is the responsibility of the individual.
Staff are not entitled to meals at the College's expense.
Holidays
The College leave year runs from 1st September to 31st August. The Assistant Housekeeper will be entitled to the statutory number of days leave per annum, pro rata; any Public or Bank Holiday falling in term-time is deemed to be a normal working day. Holiday is not to be taken unless and until a written request has been signed as approved by the Head of College Catering. The full policy for booking annual leave and holiday can be provided on request.
Probation and Notice Periods
The first four months of employment will be a probationary period. During this time, conduct and performance will be reviewed. The College may extend the probationary period if it is deemed to be required. During the probationary period the notice required to terminate employment will be one week (by either the employee or employer). The notice will increase upon the successful completion of the probationary period.
Pension and Life Cover
After three months' employment, employees will be auto-enrolled into the College's pension scheme according to legislative thresholds. Those who are not eligible for auto-enrolment may still elect to join the College's pension scheme. Initially, when joining the College's pension scheme, employees will become a member of the College's Group Personal Pension Plan (GPP). For this Plan, known as Tier 1, the employee contributes 5% and the employer 3%.
After nine months' membership of the Tier 1 plan employees may opt to join Tier 2, which is also a Group Personal Pension Plan and the contributions are 5% from the employee and a 9% contribution from the College. Employees in Tier 1 automatically qualify for a Life Cover of 2 times salary. On entry to Tier 2 Life Cover changes to 4 times salary.
