Job Purpose and Reporting Structure
The purpose of this role is to:
(1) Provide administrative support to the HR function
(2) Keep the HR database current at all times
The job requires adherence to the guidelines through efficient and accurate use of the systems now in place, and proficient data entry skills. This role will report to the HR Advisor.
Principal
Responsibilities
* Ensure the necessary information about the school's recruitment and vetting checks is contained in one central record (the Single Central Register)
* Develop a thorough understanding of the regulations that determine the nature of the SCR; including Prohibition, Overseas and Criminal and Barred checks
* Follow and apply the rules and regulations of the school's Recruitment and Selection Policy when checking prospective employees. This includes carrying out disclosure checks through the Disclosure and Barring Service
Data Base (iTrent - the HR/Payroll System) - input and management
* Manage the HR element of the iTrent software system. Training will be provided
* To ensure that the ITrent HR system is used to its full potential, by accurate data entry
* Production of reports, both bespoke and generic to both HR and Managers
General Administration
* Respond punctually and professionally to correspondence from internal customers via telephone and email
* Support the HR Advisor in the administration of the recruitment module for all advertisements
* Keep minutes of meetings
* Monitor and track work that is in hand/progress and as required, chase necessary
documentation to support the recruitment of future employees
* Take responsibility for the documentation of all new starters
* Ensure that the administration of personal details for all employees is kept up-to-date at all times
* Cover the department telephones and deal with the outgoing post
* Carry out any other duties that are required and commensurate with the Administrator role. Including:
* Office of National Statistics Surveys
* Occasional line manager support for interviews
* Occasional administrative support for training

Essential qualities
The individual must be/have:
* Reliable, accurate, well organised and methodical, with a good eye for detail and a 'finisher'
* A pleasant, friendly and helpful manner - in person and on the telephone
* A high level of computer literacy - especially with Microsoft Office Word, Excel and Outlook
* A willingness to learn how to manage a database (ITrent)
* Experience and/or aptitude with databases
* An ability to work under pressure, prioritise, and manage a fluctuating workload
* An ability to work with a diverse workforce
* An understanding of the confidential aspect of the role
Desirable qualities
* An understanding of the educational environment
Terms of Service
Hours of work
To be agreed. Two/three days per week, 8.30am - 5.00pm.
Salary
The full time equivalent salary will be in the region of GBP 23,000. Salary levels are reviewed annually on 1 September.
Holidays
The College leave year runs from 1 September to 31 August. This position will be entitled to the statutory holiday requirements. These are presently 28 days. Any Public Bank Holiday occurring during term time is deemed to be a normal working day. All leave must be taken by prior arrangement with the designated line manager and should be given with four weeks' notice. All leave should be taken during the College's holiday times.
Probation and Notice Periods
The first four months of employment will be a probationary period. During this time, conduct and performance will be reviewed. The College may extend the probationary period if it is deemed to be required. During the probationary period the notice required to terminate employment will be one week (by either the employee or employer). The notice will increase upon the successful completion of the probationary period.
Pension and Life Cover
After three months' employment, employees will be auto-enrolled into the College's pension scheme according to legislative thresholds. Those who are not eligible for auto-enrolment may still elect to join the College's pension scheme. Initially, when joining the College's pension scheme, employees will become a member of the College's Group Personal Pension Plan (GPP). For this Plan, known as Tier 1, the employee contributes 5% and the employer 3%.
After nine months' membership of the Tier 1 plan employees may opt to join Tier 2, which is also a Group Personal Pension Plan and the contributions are 5% from the employee and a 9% contribution from the College. Employees in Tier 1 automatically qualify for a Life Cover of 2 times salary. On entry to Tier 2 Life Cover changes to 4 times salary.
Enhanced Disclosure and other Pre-employment checks
Winchester College is committed to safeguarding the welfare of children at the school. Therefore, this appointment will be subject to a successful Enhanced Disclosure and Barring check. This will provide details of convictions, reprimands, warnings, cautions and bind overs as per the DBS filtering guidance. A policy on the recruitment of ex-offenders, and information about DBS filtering, is available upon request from the HR Department if required. The college may approach previous employers to seek relevant experience or qualifications, in addition to obtaining references provided by the candidate.
